Where work comes from · last 30 days
Arrived vs completed · last 6 weeks
Log a task
This week vs capacity · open work due in the next 7 days
Next four weeks · scheduled load
Do next · ranked across the team
Rank blends due date pressure, the priority you set, and how long a task has been sitting. Work top-down. Blocked items appear with a penalty since they cannot move until unblocked.
Blocked · waiting on something
What is stuck and on whom, sorted by follow-up date. Each row is a chase: nudge the person, or if it cannot move, consider deferring it so it stops counting against this week. Open a task\u2019s Blocker button to update the reason or clear it by changing status.
Deferred · deliberately waiting
Deferring is a decision, not a failure. Review this list weekly: bring items back when capacity opens, or let the total here make the case that the team needs help. Use a task's status dropdown to defer it or bring it back.
Categories
Removing a category does not change existing tasks. They keep their label and still show in reports.
Steps
Changes here apply to new tasks only. Tasks already logged keep the checklist they were created with, so a process can improve without rewriting history.
Volume by source
Volume by category
Each bar splits by source. Pink segments are interruption work.
Volume by person
Tasks arrived in range, by who owns them.
Cycle time · assigned to done
Computed from tasks completed inside this range.
On-time rate
Of completed tasks that had a due date.
Repeat fire drills · process candidates
Categories generating 3 or more ad-hoc tasks in this range are flagged. Each flag is a candidate for a documented process: a form, a checklist, or a standing procedure that turns the next occurrence into routine instead of a scramble.
Deferred in range · what the team chose to postpone
Tasks moved to Deferred with a completion date inside this range, by category. This is the record of deliberate cuts over time. A category that keeps showing up here is either lower priority than it looks, or a sign the team is over capacity for the work it is being given.
Blocked friction
How often work stalls waiting on someone. A name that recurs as a bottleneck is worth a standing arrangement: pre-authorization, a faster hand-off, or a backup approver.
Create accounts, assign roles, and deactivate access. Deactivating cuts a person off immediately; their tasks stay on the board. Permanent account deletion happens in the Supabase dashboard under Authentication.

Share the temporary password with the person directly. They can change it after first sign-in with the Change password button. Not sure which role? See the guide below.
Roles at a glance

| See, report on, and export their own tasks | ✓ | ✓ | ✓ |
| Add tasks and work their own (status, steps, edits) | ✓ | ✓ | ✓ |
| Edit and triage anyone's tasks | · | ✓ | ✓ |
| Edit process steps and the category list | · | ✓ | ✓ |
| Manage users, roles, and weekly capacity | · | · | ✓ |
Most of the team should be Staff. Pick Manager for whoever maintains the process templates or runs the weekly triage. Keep Admin rare; one trusted backup Admin is cheap insurance against lockout. Pending means the account exists but has no access until a role is assigned. These rules are enforced by the database itself, not just hidden buttons.

One-time migration
If you used the earlier single-file version in this same browser, this pulls its locally saved tasks, categories, and process steps into the shared database. Imported tasks are owned by you. Run it once.
